Map every data touchpoint
List what staff see, enter, scan, transmit and retain from the beginning of the review to final deletion. For each step, confirm purpose, authorization, access and retention. Remove fields and copies that are not necessary. This map helps uncover risks such as browser histories, device photo backups, printed notes or vendor logs that are easy to overlook.
Prepare for questions and incidents
Give staff a clear explanation of why information is needed and where privacy questions should go. Define what to do if a document is misplaced, displayed to the wrong person or captured in an unapproved system. Prompt reporting and a documented response are safer than hiding a mistake, and training should identify the responsible privacy or management contact.
Turn privacy into daily practice
Combine a discreet physical setup, minimum-data rules, approved systems, access controls and clear retention. Train staff on both normal handling and incident reporting, then test the process where reviews actually occur. Remove unnecessary collection whenever it is found. Privacy protection should remain measurable and routine instead of depending on a generic notice or individual memory.
