Understand what a scan reports
A scanner may return encoded data or a read status. That result does not by itself establish who presented the document or whether it is authentic.
Cross-check visible information
When policy permits scanning, compare relevant returned data with the document and continue the complete approved inspection sequence.
Protect scanned information
Use approved devices and retention settings, collect only what is necessary and follow privacy and security requirements for any captured data.
Plan for unreadable and conflicting results
A code may fail because of wear, device configuration, lighting or format support. The workflow should state whether staff repeat the scan, continue with visual review or escalate. If encoded and visible values differ, preserve only the minimum necessary observation and follow the designated handoff instead of deciding which source must be correct.
Control devices and software
Use organization-approved hardware, applications and updates. Confirm where data is processed, whether it is transmitted or retained and who can access logs. Consumer apps and personal devices may create unapproved copies or external disclosures. Technical convenience does not remove the need for authorization, privacy review, secure configuration and staff training.
Communicate the result accurately
Describe a scan as successful, unsuccessful or inconsistent according to the tool’s actual output. Avoid phrases that imply the device authenticated the document unless a qualified, approved system and policy expressly support that statement. Clear language prevents customers and staff from giving a single machine response more certainty than the complete inspection process can justify.
A balanced scanner policy
Document when scanning is authorized, what the output means, which device and software are approved, how conflicts are escalated and whether any data is retained. Train staff to continue the complete inspection rather than treating a read as authentication. Test privacy settings and outage handling, and communicate results in terms that match the tool’s actual limits.
